SMS/ Text Messaging Privacy Policy

OtegrityHR (“OtegrityHR,” “we,” “us,” or “our”) uses SMS text messaging to communicate with clients and to support internal business operations. This Policy explains what information we collect through our text messaging program, how we use it, who it is shared with, and how you can control the messages you receive. This Policy applies to all text messages sent or received through our business texting number(s), including client communications, one-time passcodes and multi-factor authentication (MFA) codes, and internal staff communications.

2. Information We Collect

When you communicate with us by text message, or when we use text messaging as part of our internal operations, we may collect:

• Your mobile phone number

• Your name and, where applicable, your relationship to OtegrityHR (client, employee, or contact)

• The content of the text messages exchanged with you

• Consent and opt-in/opt-out status and timestamps

• Message metadata, such as date, time, and delivery status

• One-time passcodes or authentication codes generated for account or system access

3. How We Use Your Information

We use the information collected through text messaging to:

• Communicate with clients regarding services, appointments, and account matters

• Send and verify one-time passcodes and multi-factor authentication (MFA) codes for account and system security

• Facilitate internal coordination and communication among OtegrityHR staff

• Respond to inquiries and provide customer support

• Maintain records of communications for business, legal, and compliance purposes

Message and data rates may apply. Message frequency varies based on your interactions with us.

4. Who We Share Your Information With

OtegrityHR does not sell your personal information. We may share information collected through text messaging with:

• Service providers who support our text messaging platform, wireless carriers, and related technology infrastructure, solely to deliver and manage messages on our behalf

• Regulators or other parties when required by law, subpoena, or legal process

• Successors in the event of a merger, acquisition, or sale of company assets, subject to the same privacy commitments described in this Policy

SMS consent is not shared with third parties or affiliates for marketing purposes.

5. Opt-In and Opt-Out

By providing your mobile number and communicating with us by text, you consent to receive text messages from OtegrityHR for the purposes described in this Policy. You may opt out of receiving text messages at any time by replying “STOP” to any message. You will receive a confirmation message, and no further messages will be sent unless you opt back in. For assistance, reply “HELP” or contact us using the information in Section 8. 

6. Data Security

We use reasonable administrative, technical, and physical safeguards — including encryption, access controls, and secure storage — to protect information collected through text messaging. Access to this information is limited to authorized personnel.

7. Data Retention

We retain text message records and related information for as long as necessary to fulfill the purposes described in this Policy, including legal, regulatory, security, and business record-keeping requirements.
